How to host a tour?

It’s quite simple with a team of 3 or 4 people… Here’s a Tour Planning Checklist:

Strategy Suggestions:
  • Share objective: Raise awareness and funds for our GB National Ministry Partners.
  • Recruit participants: Anyone who can ride a bike 12, 50, or 80 miles & believes in this cause.
  • Share this vision!

Planning Checklist:
  • Define route, including all entry points or exits (starting/stopping/registration) & rest stops (SAG).
  • Develop a supply list of needs for Cycling Tour Day
  • Recruit volunteers for the following:
    • Marketing Coordinator: leads a team to do promotions/advertising. (sign up table w/ a bike in the lobby of the church, sending out email blasts, bulletin inserts…)
    • Pit Crew Coordinator: responsible to lead/recruit a team to set up/tear down on Cycling Tour Day, recruiting help to provide water, snacks at pit stops, finding help to spray paint the route for cyclists and find an emergency driver with a bike rack who is on call to pick up any damaged bikes.
    • Sponsor Facilitator: leads a team for checkin/signups, recording T-shirt size of cyclists, encouraging $1 per mile sponsors for cyclists, receives signed waivers & checks from church members for registration. ($30 for advanced registration, $35 registration on site)  Keep in contact with Dave Lewis.
  • Contact local government/emergency authorities for awareness and/or involvement
  • Promote early and often through targeted channels based on your audience/participants.
    • Make sign-ups quick and easy for people
    • Share the relevance of how this ride makes an eternal impact by furthering the Gospel through our nationals who also ride in much worse conditions!
    • Wear Day of Generosity Cycling Shirt and give out early to those who register
  • Follow up– email, thank you notes, website, pictures, stories of what was accomplished
Ride Day Checklist Considerations:
  • Traveling Tech Support/Sag Vehicle
  • Tools and Equipment for minor repairs
  • Emergency Transportation available
  • Food and Beverages
  • Check in Table with chairs and a sign in front of church: Day of Generosity Cycling Tour TODAY!
  • Ride maps (small for riders) that are color coded for different lengths of ride
  • On-site sign-ups, pens, change ($), etc.
